Event Approval Form

Throughout the year, City College hosts a variety of special events such as conferences, exhibitions, receptions, film productions, and much more. 

Organizations or individuals wishing to hold an event at City College must first complete an Event Application which can be found below.

EVENT APPROVAL PROCESS:

STEP 1: IDENTIFY A LOCATION

Identify what on-campus facilities would suit your program best. Space is limited on campus, we recommend having flexibility with the requested location and date(s) of your event.

STEP 2: SUBMIT APPLICATION

Download and complete the application. Applications with incomplete information will not be processed.

City College applicants (Faculty & Staff) must submit their application a minimum of 10 business days in advance.

Groups external to the college must submit their applications 20 business days in advance of planned events.

STEP 3: SUBMISSION, REVIEW, & APPROVAL PROCESS

Once your application has been received, reviewed, and given preliminary approval status by the Office of Events Management, it will be forwarded to the CCNY Events Screening Committee, who grants final approval and assigns any required staffing for an event.

Fees associated with an event are also assessed by the CCNY Events Screening Committee. Fees can include: venue fees and support service fees such as security, custodial, & audio/visual.

The Committee meets once a week during the academic year and is comprised of representatives from Government and Community Affairs, Student Affairs, Student Life, Public Safety, Physical Plant Services, Athletics, and other offices as deemed appropriate. Should final approval be granted by the Committee, a representative from the Office of Events Management will follow-up with the event organizer with any information, instruction, and documentation (invoice, permit, and contract) necessary prior to the event date.

For groups external to the college, there should be significant CCNY interest in hosting the proposed event and it must be one that aligns with City College's mission, goals, and ideals. The individual/organization must also agree to comply with all of the CCNY rules and regulations. CCNY reserves the right of approval of all facility-use requests.
