Photocopying and printing policies and procedures

 

The photocopying machines in the City College Libraries can make photocopies (black and white or color) and print from computer workstations.  They can also make prints from microforms (fiche or film). Black and white machines are available in all libraries; 11 x 17 and color copying are available only in the Cohen and Architecture Libraries. The rates are listed below. PLEASE NOTE: If you use a color photocopier to make a copy or print of a black and white document, you will still be charged the color rate!

In order to make use of the full range of photocopying and printing services, you will need to establish an account. You can make photocopies on one of the cash-only machines, but the Library recommends that you set up an account at any one of the Patron Kiosks. You will need to select a name for your account, plus an account number (any unique number will do) and a PIN.  You will also need at least $1 (paper money only!), since you cannot set up an empty account. Note that whatever funds you insert are non-refundable – they can only be used for photocopying or printing.

 

  1. Select Create an Account. The Kiosk will give some basic information and instructions. Click NEXT>>> to proceed to the next screen.
  2. Type in an account name and proceed to the next screen.
  3. The Kiosk will prompt you for your e-mail address – enter it and proceed to the next screen.
  4. You will be prompted to create an account number. You can use any number you want, so long as it is unique (not already being used by someone else). If by chance you choose a number that is already in use, the system will reject your number. After you have entered a number that is acceptable to the system, proceed to the next screen.
  5. You will be prompted to create a PIN and proceed to the next screen.
  6. The Kiosk will prompt you to insert funds. Do so using the bill acceptor at the Kiosk and click OK when you are finished.

 

You now have a functioning account that you can use to pay for photocopying or printing anywhere within the City College Libraries. Note that you can also use the Kiosk to determine you account balance, add value to your account, change your PIN, and perform other maintenance functions.

 

Photocopying: This procedure is the same regardless of whether you are making black and white or color photocopies. Enter your account number on the keypad to the right on any photocopier. Hit the ¿ key, and you will be prompted for your PIN. Enter it and hit ¿ again, and the keypad will display the following options:

 

1 = copy         3 = print          9 = quit

 

Select 1 on the numeric keypad, or press the copy button to the left (not on the photocopier console!). Your account balance will be displayed on the keypad. You will now be able to make copies until you use up the funds in your account. Be sure to hit ¿ on the keypad when you are done, otherwise someone else will be able to use your funds to make copies.

 

Printing: You can print black and white or color documents from any public workstation within the City College Libraries. For black and white printing:

 

  1. Open the web page or document that you wish to print.
  2. Issue the print command from either the menu bar or the File pull-down menu.
  3. After a few seconds, a screen will pop up, telling you the price per page of your print job and prompting you for your account number and password.

  1. Type in your account number and password.
  2. If desired, give your print job a name to distinguish it from any other print jobs that you might have sent.
  3. Click on the Send to Print Release Station button.

 

For color printing:

 

  1. Open the web page or document that you wish to print.
  2. Issue the print command from the File pull-down menu. Do not use the print command on the menu bar.

  1. Choose the color printer (listed as CCNY-PRINT2\Color; varies a bit depending on the application from which you are printing). NOTE: Once you have selected color printing, all print jobs for that application will be charged the color rate unless you re-select a black and white printer.

 

  1. After a few seconds, a screen will pop up, telling you the price per page of your print job and prompting you for your account number and password.
  2. Type in your account number and password.
  3. If desired, give your print job a name to distinguish it from any other print jobs that you might have sent.
  4. Click on the Send to Print Release Station button.

 

Note that print jobs once sent will be held in the system for up to two hours or until you release them. If you do not release the print jobs, they will be deleted from the system without charge to your account.

 

For color print jobs, go to a color photocopier; otherwise, use a black and white photocopier.

 

Enter your account number on the keypad to the right on any photocopier. Hit the ¿ key, and you will be prompted for your PIN. Enter it and hit ¿ again, and the keypad will display the following options:

 

1 = copy         3 = print          9 = quit

 

Select 3 on the numeric keypad, or press the print button to the left (not on the photocopier console!). Your account balance will be displayed on the keypad; after a few seconds the keypad will prompt you with the following options:

 

            +/- = scroll                  9 = print

 

1                    [job name]

 

Select the job you wish to print using the +/- button on the keypad, then select 9 on the keypad. The keypad will now display:

 

            Pg: [# of pages]        Cost: [cost of print job]

 

            1 = Print                     3 = Cancel    

 

Select 1 on the keypad. The cost of the print job will be deducted from your account and after a few seconds, your document will begin to print. If you have only one print job, the system will automatically log you out once you have issued the print command. Otherwise, it will return you to the initial print menu until you have printed all your jobs.

 

Microform printing: The microform reader/printers are located opposite the Reference Desk in the Cohen Library. If both the reader/printer and the associated PC workstation are off, turn the reader/printer on first, then turn on the PC.

 

1.      Make sure that the reader/printer is turned on.

2.      Orient the material that you wish to print within the Letter brackets on the reader/printer.

3.      Make sure that the PC workstation next to the reader/printer is on.

4.      Start the OpenOffice Draw application.

5.      As shown below, use the Insert pull-down menu to select Picture, then Scan, then Request:

 

 

6.      The Scan window will open.

7.      As shown below, go to the Film Polarity pull down menu and select Positive Film or Negative Film, depending on your film type.

 

8.      Click the Scan button and wait for the image to appear on the screen.

9.      Select the print command from either the menu bar or the File pull-down menu.

10. Proceed as for printing as described above

 

You can also choose to save the scanned image without printing. With the scanned image on the screen of the workstation:

 

  1. As shown below, select Export from the File pull-down menu:

 

 

  1. The Export window will open.
  2. As shown below, use the File format pull-down menu to select the desired file type (BMP, GIF, JPEG, or TIFF recommended):

 

 

  1. Name the file.
  2. Click on Save button.

 

You should save the file to a flash memory device or e-mail it to yourself. You can try to save to a diskette, but the file might be too large.

 

Photocopying/printing problems: If the system takes your money without printing, report the problem immediately to the local Circulation Desk. If there is a simple mechanical problem (a paper jam, for example), we will probably be able to fix it, allowing to your job to print. If money is deducted from your account and we are unable to immediately repair the problem, we will issue you a refund. If the amount lost is under $1.00, you will receive a cash refund immediately. If the amount lost is $1.00 or more, you will have to complete a form and the amount will be credited to your account in two or three working days.
