Whenever you are writing a professional e-mail (which is any e-mail to anyone except your friends), you need to use an appropriate greeting (including the title of the person to whom you are writing), use correct grammar, spelling, punctuation, and capitalization, explain yourself fully, and sign off with your name.  You should also include the best method to contact you, such as e-mail or phone, and when you are available.  When leaving a voice mail message, identify yourself, the reason for your call, and the number where you can be reached and the best time to call.
